Medical Service Reps

Medical Service Representatives, also called Pharmaceutical Vendor Representatives (PVRs), are considered vendors at VA Salt Lake City Health Care System (VASLCHCS) and are required to comply with vendor policies.

The goal at VASLCHCS is to develop and foster a collaborative relationship with PVRs and the companies they represent without inhibiting the ability of VASLCHCS providers and staff to serve and care for Veterans. This information provides expectations for PVRs at VASLCHCS, with the intent of creating a mutually beneficial experience.

PVRs provide valuable services to VASLCHCS, such as:

  • Provide pertinent drug information
  • Provide relevant patient assistance information
  • Provide information on new products
  • Assist in the acquisition of drug products
  • Support research
  • Support educational activities

VASLCHCS Vendor Policies

A vendor is any representative or agent who promotes products, services or provides information to VASLCHCS employees on behalf of manufacturers, supply distributors, or service organizations. The following applies to PVRs at VASLCHCS; failure to comply with vendor policy may result in discipline and impact VASLCHCS's ability to conduct business with the violating vendor.

Registration

  • To comply with VA policy and Joint Commission standards, VASLCHCS requires that all PVRs be registered with the facility prior to visiting the medical center.
  • VASLCHCS utilizes Intellicentrics’ SEC3URE Passport to assist with the credentialing of PVRs.
  • Intellicentrics’ SEC3URE Passport issues credentials to compliant PVRs who provide the required documentation.
  • PVRs not registered with Intellicentrics’ SEC3URE Passport will not be permitted to meet with the Pharmacy Services.

Scheduling

  • PVRs are required to schedule appointments with Pharmacy Service designee, Archie Holmes in advance through their online REPtrax credentialing account. *Note: No other individual or department may be contacted.
  • Appointments are held the second Wednesday of every month and scheduling begins one month prior. Due to limited openings, no more than one appointment may be scheduled per quarter.
  • Vendor representatives visiting the facility for a previously scheduled appointment may not request impromptu meetings with other staff whom they encounter, should not contact staff members in elevators, corridors, canteen, or other public areas, and are prohibited from posting announcements or flyers in the medical center or clinics.
  • Visits are restricted to 15 minutes, regardless of REPtrax time increments.
  • Time increments are as follows: 10:00 AM, 10:45 AM, 11:30 AM, 12:15 PM, 1:00PM, 1:45 PM.
  • Designee reserves the right to cancel scheduled meetings at any time.
  • Replacement colleagues and/or additional attendees must submit individual meeting requests in SEC3URE no less than five days in advance for approval review. Non-compliant representatives will be turned away and asked to leave the premises, no exceptions.

Access to Patient Care Areas

  • PVRs are not allowed on any patient care unit of VASLCHCS due to patient confidentiality and privacy laws.
  • Patient care areas include nursing units, the emergency department, clinic areas, pharmacy satellites, and any ambulatory care or retail pharmacy.
  • If it is necessary for a PVR to be in a patient care area, they must have an appointment and be accompanied by that individual or their designee. 
  • Medical staff members requiring product information shall contact the department designee. All in-services or educational materials must be reviewed by department designee to ensure information is appropriate before it is provided to medical staff. PVRs are prohibited from promoting products that are known to be non-formulary or of a restricted status in a manner that misrepresents that product’s status within the VASLCHCS. Failure to comply with the provisions outlined in the VA policies may result in the suspension, limitation, and temporary or permanent revocation of commercial visiting privileges for one or more VHA medical facilities.
